Backup Systems

Obtain preferences, software and data needed from user

  • This can be done via an extensive physical or electronic survey to the user.
  • It is important to let the user know that whatever is not on this survey, will not be on their new machine. Any information missed will be difficult or impossible to obtain.

Create disk image with Acronis TrueImage

  • Create complete compressed image in file format if possible (use Acronis over Norton Ghost for ease of use and more options)
  • Save file as “Old <user> Computer Backup” where <user> is the user or computers name

Transport image to alternate safe media

  • This can possibly be done inclusively in the prior step if saved to alternate media
  • Otherwise save it to another hard drive, network drives, burnable media, etc
  • This separate media backup is meant for temporary measures; Once the full upgrade has commenced, the backup can be stored in compressed form on the new HDD

Apply above instructions to both New and Old system

  • Dependant on which computer was being used and for what purposes, backup those that have any data that could be bad to lose
  • Student and new computers may not need backup

Backup Internet settings and bookmarks

  • Install Firefox on the old / original computer and allow the install to import settings from an existing browser environment
  • Use MozBackup program to backup all various Mozilla settings

Backup Email Client settings, contacts, and emails

  • Install Thunderbird on the old / original computer and allow the install to import settings from an existing email environment
  • Use MozBackup program to backup all various Mozilla settings

Install OS On New System

Partition Magic floppy format

  • Some older machines require this. Basically any bootable hard disk formatter will do.

Boot to Windows install CD

  • Note: only bootable install/repair CDs will do the job
  • Note: to boot to the CD, you may have to alter the BIOS boot sequence

Install new Windows OS over any existing data

  • See below webpages
  • Workgroup: Workgroup
  • IMPORTANT: When entering the Name: and Computer Name: fields, DO NOT enter the users UMBC login name / email; It will extremely complicate matters later
  • Name: student, Nick, Vicki
  • Computer Name: use suggested, whatever (this gets changed by Novell later)
  • Administrator password set to:
  • In network options
    • turn OFF QOS Packet Scheduler
    • turn ON client for MS Netoworks, File & Printer Sharing, Internet Protocol
  • In ‘Who will use this computer?’
    • Your name: <user> umbc username of primary user Ex: nyeates1, mcardona, gradstudent

Secure & Update System

Log In As ‘Administrator’

Install Virus Protection

    • Under the ‘Business Services’ tab
  • IMPORTANT: install the following IN ORDER
  • EPOAgent
  • McCaffee 8 Installer

Schedule Virus Protection

  • To run full disk scan weekly on Fridays at 12:00pm (lunchtime)

Install OS updates

Turn off windows firewall

  • If the computer is permanently behind the UMBC internal network
  • Control Panel > Windows Firewall > Off
  • Control Panel > Security Center > Change the way security center alerts me >
    • turn ON Automatic Update, Virus Protection
    • turn OFF Firewall

Install SpyBot Search & Destroy

  • Icon on desktop

Run SpyBot once

  • Backup registry
  • Update
  • Immunize
  • Scan
  • Clean

Set SpyBot to run automatically

  • Occasionally run spybot to check for stuff
  • Turn on advanced mode > go to Settings tab > Scheduler
    • make a new schedule, edit it to set timing

Install AdAware

  • Icon on desktop

Run AdAware once

  • Update
  • Scan
  • Clean

Setup User Environment

Join to Active Directory (AD)

  • See the OIT supplied AD adding instructions, obtained via the DIT group or OIT OR
  • Contact helpdesk to request an AD add (takes longer)

Login as user

  • Username: <umbc login>
  • Password: <accompanying password>

Deploy Customizations

FIXME apply this to all users

Customize desktop

  • Right click desktop > properties > Desktop tab > customize desktop
    • turn ON My Docs, My Computer, My Network Places
    • turn OFF Desktop cleanup wizard
  • Right click desktop > Arrange Icons By
    • turn OFF Auto Arrange

Customize my computer

  • Right click My Computer > properties > Hardware tab > Device Manager button
    • If you see a yellow exclamation ! This is bad, attempt to discover what hardware device this is and install drivers
  • Right click My Computer > properties > Advanced tab > Performance button > Advanced tab > Virtual memory Change button
    • Custom size:
    • Initial size (MB): 2 x the amount of RAM in system
    • Maximum size (MB): 4 x the amount of RAM in system (provided there is diskspace)
  • Right click My Computer > properties > Remote tab
    • turn ON Remote Assistance
    • turn OFF Remote Desktop
  • Right click My Computer > properties > System Restore tab
    • turn OFF System Restore on all drives

Customize appearance settings

  • Right click desktop > properties > Appearance tab > Effects… button
    • turn ON Use smooth edges, Hide underlines until ALT
    • turn OFF everything else

Re-arrange desktop icons

  • Remove Microsoft Internet Explorer Icons
  • Make My Computer the top left icon

Customize taskbar and start menu

  • Right click taskbar > properties
    • turn ON Keep the taskbar on top, group similar, show quick launch, show clock
    • turn OFF auto hide, hide inactive icons
  • Right click taskbar
    • turn OFF Lock the Taskbar

Customize viewing options

  • Right click taskbar > properties > Start Menu tab > Customize… button > Advanced tab
    • in Start menu items click:
    • Control Panel ‘Display as a menu’ radio button
  • Open Start Menu > Control Panel > Folder Options > View tab
    • turn ON Show Hidden files & folders
    • turn OFF Hide extensions, Hide protected OS files

Adjust Settings

Start menu ‘Sort by Name’

  • Start > All Programs
    • right click anywhere in all programs and select ‘sort the entries by name’

Clean out unneeded startup programs

  • In Start > Programs > Startup menu
  • Run ‘regedt32.exe’
    • In HKLM > SOFTWARE > Microsoft > Windows > Current Version > Run
    • remove unnecessary entries such as:
    • Quicktime
    • ATI drivers
    • winzip
    • MS office startup
    • Adobe acrobat
    • Cisco VPN
  • Stop MSN Messenger from running at startup
    • (start the program and go into the applications options to turn it off)

Alter unneeded Services

  • Start menu > Control Panel > Administrative Tools > Services
  • To change how a service acts:
    • right click > Properties
    • Stop button to stop it now
    • Change the Startup type as specified below to alter startup action
  • Services set to Disable:
    • Fast user Switching
    • Remote Registry
    • Remote Desktop Help Session Manager
    • WebClient
    • Wireless Zero Configuration (unless you will use a wireless device and connection for connection to the Internet)
  • Services set to Manual:
    • Distributed Link Tracking
    • Error Reporting Service

Hard drive Defrag

  • Start > All Programs > Accessories > System Tools > Disk Defragmenter

Copy backed up image file to new system

  • Transfer file to new disk, as long as space on the new system provides for it to fit 30% of current disk space is the most that any backup should take up
  • Place the backup file in the root C:\ directory
  • Backup file should only be kept for a specified amount of time, dependant on users use and purpose of prior system
    • ex: 6-12 months later, remove large backup file

How to Map Network Drive

This instruction is for off-campus users who need access to network drives such as Home(H:) and Dept(I:). (VPN connection is required in order to access mapped network drives from off-campus)

  • Open windows explorer (windows key + E)
  • Select Tools → Map Network Drive...
  • In Map Network Drive windows, select a drive letter to map. (Example: I: or P:)
  • Enter folder path. (Example: \\sharedvol.ad.umbc.edu\Dept\Grads, \\peopvol.ad.umbc.edu\people)
  • Click Finish
  • In login windows, enter ad\username in user text box and enter user’s password in password text box.
  • Mapped network drive should appear in My Computer
